Events Manager/Planner

The Association for the Advancement of Sustainability in Higher Education (AASHE) is seeking an events manager/planner in the Denver area to provide leadership in planning and organizing its annual conference and other events throughout the year.

Position Description

The Events Manager/Planner is responsible for providing professional planning services to AASHE for its annual conference and trade show/expo, board and staff retreats, workshops, and other meetings. In addition the individual provides support to the Executive Director with respect to travel and meeting arrangements. This is a full-time exempt position that reports to the Executive Director.

Position responsibilities

  • Assist the board and staff to determine annual conference and other events locations
  • Assist and support various committees in planning and managing events
  • Work with the executive director to hire appropriate outside contractors related to events
  • Develop events budgets and maintain financial records in collaboration with AASHE’s business manager
  • Negotiate contracts with various vendors, speakers, sponsors, etc. and serve as a liaison among various contractors
  • Manage all conference/events operations and arrangements
  • Manage and/or develop all communications including publicity, registrations, arrangements, website, print media, post-event follow-ups, etc.
  • Ensure that the AASHE events are in alignment with sustainability principles
  • Provide regular and requested reports on events including participation, cost analyses, income, evaluations, etc.
  • Provide assistance in travel arrangements and scheduling for Executive Director and staff.
  • Assist the Executive Director in procuring external funds to support events
  • Supervise interns
  • Perform other related duties as needed.

Requirements

  • Bachelors degree or equivalent experience
  • 3-5 years experience in event planning including contract negotiations and fiscal management
  • Experience using Microsoft Office in a business setting
  • Experience in planning large volume events (1000 or more individuals)
  • Excellent organizational skills, oral and written communication skills, and negotiation skills
  • Ability to meet deadlines in a fast paced environment
  • Ability to work well with diverse partners and stakeholders
  • Commitment to sustainable practices
  • Commitment to diversity in the workplace
  • Ability and willingness to travel several times per year
  • Willingness to work a Denver area office but initially from a home office

Salary

$40,000 - $50,000 per year
